We are seeking a highly organized and detail-oriented Administrative Assistant to join our growing construction company.
As an Administrative Assistant, you will play a vital role in supporting our operations by providing efficient administrative and clerical support to our team.
You will be responsible for managing various administrative tasks, coordinating communication, and ensuring the smooth flow of operations.
Responsibilities:
Project Support Obtain material pricing for estimates Set up material pick ups and deliveries Schedule inspections Fill out permit applications Call in utility mark outs Pivot with unexpected changes on the jobs to allow the job to continue without delay Communication and Coordination:
Serve as a primary point of contact maintaining a professional and friendly demeanor.
Facilitate effective communication within the company by relaying messages, responding to inquiries, and ensuring timely and accurate dissemination of information.
Collaborate with various departments and team members to gather and distribute information, ensuring seamless coordination and workflow.
Documentation and Reporting:
Assist in maintaining accurate project documentation, including contracts, permits, and compliance records.
Email tickets and manifests for environmental projects to the project managers at completion of the jobs Track and manage project-related documents and deadlines for estimates Create systems process documents for employee handbook for each process for each existing role within the company.
Support the preparation of financial documents, including invoices, expense reports, and purchase orders.
Office Management:
Assist in organizing and maintaining electronic and physical filing systems.
Qualifications:
High school diploma or equivalent; additional certifications or training in office administration is a plus.
Proven experience as an Administrative Assistant or in a similar role, preferably in the construction or engineering industry.
Proficient in using office software (e.
g.
, Microsoft Office Suite) and other relevant tools.
Strong organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
Excellent communication skills, both verbal and written, with a professional and courteous approach.
Attention to detail and accuracy in work output.
Strong problem-solving skills and ability to work independently or as part of a team.
Familiarity with construction terminology and processes is desirable.
Extremely competent at desceminating unfamiliar information, figuring out new processes; ie.
difficult permitting, determining how to obtain new licenses, join new organizations, etc.
